BOOKSHOP MANAGERS


Two people would need to spend approximately 5 hours a week in the Centre,  preferably when the Centre is not open to the public, plus other time as and when necessary which is not very often
  • Labelling & entering new stock and sales on the database. The stock and all the information is on an Access database which is very user friendly.
  • Checking stock and ordering books, CDs etc as necessary
  • Liaising with the Mail Order team to ensure they have all publications necessary for their orders.
  • Arranging books on the shelves and display shelves in the Centre. Storing/organising extra stock etc in cupboards.
  • Answering email queries regarding publications. This can be done at home if wished.
  • Very occasionally preparing & packing publications for sale at Family History Fairs/Open days, replacing unsold stock the following week at the Centre & entering sales etc. .
  • Keeping the Booklist for Historian up to date as/when required by the Editor and putting any new publications on the BerksFHS Discussion List.
  • Printing monthly reports.
  • Checking & searching for new publications from publishers & authors.
  • Carrying out an annual stock-take (usually 2-3 days)
  • Any other tasks concerned with the administration of the Bookshop.

MAIL ORDER TEAM


The mail order team need to deal with orders on at least a weekly basis to promote customer satisfaction. Much of the work can be done in the upstairs office in the Research Centre in the period of a few hours each week (average - subject to fluctuation) - some work could be done at home.

The role entails (beyond dealing with perennial enquiries about ordering copies of books in the library!!!, etc.)
  • Receive mail orders by post and via emails from the online shopping system on the Society Web site.
  • Reconcile online order emails with online confirmation emails of credit/debit card payments.
  • Forward orders emails including membership items to Society membership secretary.
  • Pick orders from bookstall stock, noting any items that are unavailable and ensuring bookstall managers know about them.
  • Take stock control barcoded labels from items and affix to sales sheets (forwarded to Bookstall manager)
  • Deal with under payments and over payments. Overpayments may require a credit note, cheque from Bookstall Finance Officer (Jackie Rowlands), or refund on WorldPay credit card system.
  • Pack orders, address envelopes, include member information for non-members.
  • Post orders with address list attached to certificate of posting.
  • Arrange payment of cheques into the bank
  • Claim out-of-pocket expenses from Jacky Rowlands
  • Keep records of each processing stage and maintain spreadsheets of summary information.
